Data Protection Policy

 

Chelmsford Camera Club needs to collect and use information about individual members in order to administer the Club, and keep members informed about Club activity.

The information collected is as follows:

  • Name & Title
  • Postal address
  • Email address
  • Telephone number/s
  • Date Joined
  • Membership Type
  • Membership fees paid
  • Photographic distinctions/qualifications
  • League level
  • Previous Club
  • Special care requirements

Selected images may be held by the Club for use in Club publications, on the website, and to represent the Club in external competitions. They may also be passed to the EAF for publication.

The information is collected from the membership application form where the applicant is required to give their informed consent for it to be collected and stored. All members have the right to access the information that the club holds about them. It is kept up to date by sending each member details, annually, of the data held on file, and asking that they update the information, or confirm that it is current. It will not be held for any longer than necessary.

The Club will not share personal information with an outside organisation except when a member’s image is used to represent the Club in an external competition, or by the EAF. In these circumstances the name of the author plus any distinctions may be given, but not any contact details or other information.

This information is stored in a computer file by the nominated Data Protection Officer – in our case, the Treasurer.

Data is managed in line with the 8 data protection principles outlined in Schedule 1 to the Data Protection Act. ie:

  • Personal data shall be processed fairly and lawfully.
  • Personal data shall be obtained only for one or more specified and lawful purposes, and shall not be further processed in any manner incompatible with that purpose or those purposes.
  • Personal data shall be adequate, relevant and not excessive in relation to the purpose or purposes for which they are processed.
  • Personal data shall be accurate and, where necessary, kept up to date.
  • Personal data processed for any purpose or purposes shall not be kept for longer than is necessary for that purpose or those purposes.
  • Personal data shall be processed in accordance with the rights of data subjects under this Act.
  • Appropriate technical and organisational measures shall be taken against unauthorised or unlawful processing of personal data and against accidental loss or destruction of, or damage to, personal data.
  • Personal data shall not be transferred to a country or territory outside the European Economic Area unless that country or territory ensures an adequate level of protection for the rights and freedoms of data subjects in relation to the processing of personal data.
